Signing remotely is a real risk and sometimes the only option. It can be done well, and the difference is entirely in what you verify before you transfer money rather than in how much you trust the photographs.

When it is defensible and when it is not

Remote signing is defensible where the alternative is arriving with a fixed start date and no accommodation at all, or where an employer's relocation package covers only a short period of temporary housing. It is not defensible as a way of avoiding the effort of a search.

The better default, wherever the timetable allows it, is a short furnished let or serviced accommodation for four to six weeks, and a search conducted on the ground. That costs money and it removes the single largest category of relocation regret, which is a three-year commitment to a district that turned out to be wrong.

What to demand before you commit

  • A live video walkthrough, not a recorded one. Ask the agent to walk the flat while you are on the call, so you can direct the camera: into the cave, into the boiler cupboard, out of each window, along the corridor to the lift.
  • The energy passport. Every property offered for rent in Luxembourg must have one. It gives you the building's thermal class before you commit, and the difference between a class A new-build and an unrenovated class G townhouse is several hundred euros a month.
  • The last completed year's charges reconciliation, not the monthly advance. The advance is an estimate; the reconciliation is what actually happened.
  • A dimensioned floor plan, with the ceiling height, the floor level and whether there is a lift.
  • The building rules. The règlement de copropriété and any règlement d'ordre intérieur, because most leases bind the tenant to respect them and they govern pets, subletting, balconies and storage.
  • The draft lease, in writing, before any transfer.

Verifying the location without being there

Orientation first: ask which way the main rooms face and check it against a map, then look at what faces the windows. Luxembourg City is a plateau cut by valleys, so an apartment in the Grund, Clausen or Pfaffenthal may have a valley wall on one side, and a courtyard flat in the Gare district can be south-facing on paper and dark in practice.

Then verify the commute yourself rather than accepting a stated figure. Public transport is free nationwide and the tram runs from the airport through Kirchberg, Ville Haute and the Gare down to Cloche d'Or, so the variables are minutes and frequency. Check the walk from the building entrance to the stop, and check the gradient, because a nine-minute route on a map can involve a serious climb.

Ask what the street is like at the times you will be home, and ask whether the flat is on a tram corridor or a main route such as Route d'Esch. Ambient noise is a legitimate trade for a short commute and an illegitimate surprise after signing.

The money, and the limits that protect you

Before transferring anything, verify two figures against the law as it stands since 1 August 2024. The rental guarantee cannot exceed two months' rent excluding charges. Agency commission is shared equally between landlord and tenant. Both are still occasionally tested on arrivals negotiating from abroad, which is precisely the situation in which people are least likely to push back.

The lease must be in writing on pain of nullity and must contain prescribed content, including the designation of every room and part of the building let, the address and cadastral reference, and an express mention of the right to refer a rent dispute to the commune's rent commission. A document missing those elements is a reason to slow down, not a formality.

Never transfer a guarantee to a private account on the strength of a listing alone. Deal through an identifiable agency or an identifiable owner, verify the entity, and keep every exchange in writing.

The entry inventory, which you cannot delegate casually

This is the weakest point of a remote arrangement. The entry inventory is the comparator against which your guarantee is judged at the end, and it has to be done with the property empty, before furniture arrives.

Where you cannot be present, have someone attend on your behalf with written instructions: photograph every wall, floor, window and appliance; record every existing mark in words as well as pictures; record the serial number and full index of every meter, including both registers on a dual-tariff installation; count the keys and badges. Then review the document before it is signed, not after.

Where nobody can attend, write your own inventory within the first days of arriving, with dated photographs, and send it to the landlord or agent by registered letter asking them to confirm or contest it. A unilateral record that was sent and not disputed is considerably better than nothing.

Building an exit into the arrangement

The most useful protection when signing remotely is the ability to leave. A lease that is open-ended, or a fixed-term lease that will convert to an open-ended contract at its term, allows the tenant to terminate at any time with three months' notice. Inside the initial period of a fixed-term contract you are held to the term, and terminating early can leave you liable for rent to the end of it.

Where you are committing without seeing the property, that distinction is worth more than a slightly better rent.

Three questions we are asked

Should I use a relocation agent? If your employer pays for one, yes. They attend viewings, verify documents and handle the inventory, which are precisely the tasks a remote tenant cannot do.

Is a furnished flat safer for a remote signing? Often, because it removes the furniture problem entirely. It also increases your exposure on the inventory, since every item becomes something that can be recorded as damaged at exit, so the entry photographs matter more rather than less.

What if the flat is not as described when I arrive? Document it immediately with dated photographs and raise it in writing, before you move furniture in. Waiting weakens the position, because the longer you occupy the property, the harder it becomes to establish what was already there.

The compromise position: commit short, decide later

Where a remote signing is unavoidable, the aim should be to limit the length of the mistake rather than to eliminate the risk of one.

Three structures do that. A furnished let removes the furniture problem entirely and suits an assignment of two years or less, where the furniture premium never reaches its crossover against the cost of furnishing an empty flat. Serviced accommodation for the first two or three months costs more per night and buys a proper search on the ground. And an open-ended lease, or a fixed-term lease that will convert to one at its term, gives you the right to leave at any time on three months' notice.

Weigh those against a slightly better rent on a long fixed term in a district you have never walked through. For someone arriving into a demanding role, the value of being able to change your mind in month seven is considerably higher than a hundred euros a month.

One further protection: ask the agent whether the outgoing tenant is still in the property and whether you can speak to them. They will answer questions the agent will not, about how the heating performs in February, what the charges reconciliation actually came to, and whether the building is quiet. For a remote signing that conversation is the closest thing available to a second viewing.
